Enterprise search software comparison

It instantly sources answers to questions across numerous cloud platforms. Staff can access this data from anywhere using any internet-enabled device as the information is stored in the cloud and not on a device. The enterprise search solution should have a simple user interface which is easy to master and provides an excellent user experience. Further, the program should be flexible and permit changes to the UI if needed. Enterprise search tools enable companies to customize the software for their search and related needs via SDK and API.

You can personalize the look and feel of the product and pick only required features to create a bespoke and unique system, while minimizing the cost. The platform should have inbuilt text mining functionalities such as LOD mapping, entity extraction and ontology, sentiment analysis, named entity recognition, semantic similarity, and data classification. Modern enterprise search tools are being driven by artificial intelligence technology which facilitates semantic search.

It is essential for corporations to maintain high levels of data security for their huge volumes of information. Enterprise search systems ensure this by offering features such as controlled access which allows you to set the access rights to every dataset, document, and file. Plus, the application helps to prevent data loss by backing it up in a cloud and distributed environment. Enterprise search programs also deliver actionable insights in real time into your data to help you make informed business decisions.

You have complete control over who can make changes to a document. You can also create custom watermarks, sequential numbering, and location tracking to control copies of your files.

This means that documents have a time-stamped audit trail, as well as e-sign functionality that complies with federal regulations. Another unique standout of MasterControl is its learning center. If you need enterprise-grade security for document management in a strict industry, MasterControl will be a top option for you to consider.

Contact their sales team for a custom quote. PaperTracer has solutions for small, medium, and enterprise-level businesses. You can also benefit from a cloud-based implementation with end-to-end workflow solutions. This will help you with your document management no matter where you are in the process.

E-signature capability is also available with PaperTracer. Demos and free trials are available for all three plans. While they do have an enterprise-grade solution, there are better options for that on our list.

DocuWare stands out because it has specific solutions for tasks within your business processes:. DocuWare has everything you need for digital transformation and going paperless using cloud technology.

DocuWare allows you and your staff to edit or annotate documents directly on the platform. Not every DMS on our list gives you this capability. I like DocuWare because it has features designed to connect remote employees and your deskless workforce. Anyone can easily access content at home or on the go from any device. So you know that the company is legitimate with a track record like that. It has specific use cases for things like contract proposals, finance processes, and HR tasks as well.

The pricing for DocuWare follows a common theme in this guide. They offer a free trial, but you need to contact their customer support team directly for a custom quote.

You can use the same system to help narrow your search. In most cases, document management solutions are either cloud-based or on-site. There are benefits and drawbacks to both. However, sometimes that limits you to how and where you can actually access your files.

Also, if something happens to that on-site solution like a fire or physical theft, you might be SOL. For example, eFileCabinet offers both on-premises and cloud-based storage. M-Files has both as well, and also has a hybrid solution. Other solutions, like DocuWare are completely cloud-based.

I personally prefer cloud solutions because you can access content from anywhere. But for security reasons, some companies want files stored locally on their network.

Consider what your needs are. Would you like to have an on-site, physical location to go to? Or do you enjoy the convenience of the cloud? Or maybe both! The choice is yours. What can you do with your files once they are uploaded and stored? Look for a DMS that accommodates your internal needs for editing or collaborating on files.

Features like automated version updates and in-platform editing capabilities are crucial here. The size of your files will also depend on which solution is best for your business. If you need to share large files, Hightail is the best choice. Most business-related files and data are sensitive. Other platforms specialize in compliance for unique industries, like healthcare, legal, or government businesses. Pricing for DMS is usually based on storage limits and users.

At each price tier, you can expect the plan to have additional features and benefits. The majority of the solutions on this list offer custom plans and pricing.

Our columns have tended towards vendors we actually encounter in our practice, and vendors that our clients ask about. Nonetheless, there are some big names not yet represented in our matrix, including the following. Microsoft is probably the biggest vendor not in our official 'columns'. They've had bad to mediocre search for so long that it's hard to take them seriously.

However, they are persistent, and keep trying, and now offer search as part of their SharePoint portal. Gartner ' Magic Quadrant for Enterprise Search ' is quite well known and respected in the industry, with a focus on 'vision' and 'execution' of product-lines as a whole, versus our focus on specific key features and deployment.

We've made the choice for our site as we mentioned earlier, but all of these vendors can handle many public web sites. And of course, Google and Mondosoft also offer software that can be used within the intranet in the form of a hardware box Google or software Mondosoft. With regard to 3rd party vendors, those selling cross-vendor add-on tools targeted at search engines, we've not seen too many vendors yet. If you've read our newsletter in the past, you know that New Idea Engineering offers cross-vendor search analytic and promotion products.

To be fair, some of the web log analysis vendors are starting to address search analytics as well. Every now and then we get questions about other vendors, either new players, very small companies, or offshore companies that enjoy market share abroad. Some of them make absolutely outrageous claims, although you never know - a few of those claims might actually turn out to be true.

We find most enterprise customers looking for a more stable corporate track record when they select vendors. Nonetheless, some of these players can be very charismatic and convincing, so if they do manage to chat with one of your pointy-haired bosses, you may need to at least sit through their pitch.

When in doubt, insist on local references, full evaluation tests, and get the help of an independent business consultant to help you with the selection. Lucene is an amazing piece of open source search technology created by search guru Doug Cutting. There is also a related project, Nutch. If you or your staff are not Java programmers, this is not the engine for you. Lucene is best suited as an embedded search engine, to be part of another product. It is not a stand-alone enterprise search solution, at least not at this time.
